Indra Group, one of the leading global corporations in defence, air traffic, space and digital technologies, has taken a decisive step forward in its Artificial Intelligence (AI) strategy with the mass adoption of Microsoft 365 Copilot. In just one year, more than 3,000 professionals from the technology corporation are already using this generative AI solution integrated into the Microsoft 365 environment, with tangible results in efficiency, quality and productivity.
With a presence in more than 140 countries and more than 57,000 employees, Indra Group drives digital transformation in all key sectors of activity. The company channels its commitment to innovation in AI through its subsidiary Minsait, which specialises in emerging technologies and digital environments. Minsait leads initiatives in both the public and private sectors and applies these advances to its own internal transformation, with solutions ranging from software development to operations improvement and the creation of new AI-based services.

AI integrated into everyday life
Indra Group's goal in adopting Microsoft 365 Copilot has been to incorporate generative AI into the daily work of its professionals without compromising information security or governance.
The choice of this solution was based on its native integration with the productivity tools already in place in the organisation, such as Word, Excel, PowerPoint, Outlook and OneDrive, as well as its scalability and ability to generate impact from the outset. The mass rollout of licences was carried out in a short period of time, thanks to centralised management and support from Microsoft.

We chose Microsoft 365 Copilot for its native integration with our tools, as well as its scalability and ability to improve employee productivity without compromising security,’ said Julia Martos, Head of Information Systems Technology at Indra.
An industrialised adoption model
According to Carmen Bauset Carbonell, Head of Information Systems Governance and Strategy for the Microsoft 365 Copilot adoption programme at Indra Group, the success of the adoption programme has been built on a proprietary implementation methodology developed by the corporation, which is people-centric and structured around four pillars:
- Structured training: practical sessions and materials developed in collaboration with Microsoft, tailored to each of the different user profiles.
- Network of ‘champions’: these are the early adopters of the tool, a community of key users who act as internal references and accelerators of change.
- Cross-cutting use cases: designed for different markets and functions, with a measurable impact on productivity, efficiency, quality and satisfaction.
- Effective communication: personalised support for leaders and key areas to ensure adoption is aligned with business objectives.
Tangible results in increased productivity and efficiency
The implementation of Microsoft 365 Copilot has begun to transform the way Indra Group professionals work, collaborate and generate value. According to an internal survey, 79% of users consider the use cases developed to date to be useful, reflecting rapid assimilation of the tool into the daily workflow. On average, users have managed to optimise two hours of their working week, and forecasts suggest that this figure could triple in the coming months as new habits and functionalities become established.
Productivity improvements currently stand at 5%, while satisfaction with the tool reaches four out of five points. However, beyond the indicators, what stands out is the cultural change that is taking place: teams are adopting a new, more agile and creative way of working. The adoption rate now exceeds 80%, with frequent and sustained use throughout the week.
As explained by Esperanza Marchante, head of Indra's Administrative Bid Office Mobility, and Patricia Leal, head of Business Development for Social Services at Minsait - both Champions of the programme - the impact has been particularly significant in key areas such as Mobility and Business Development. Teams that previously needed hours to prepare a commercial proposal can now do so in less time, complying with all regulatory requirements and improving the quality of deliverables. In some cases, the time spent on repetitive tasks, such as comparing documents, has been reduced by up to 90%, freeing up resources to focus on strategy and innovation.
Copilot and the creation of agents to work better and faster
The key to success has been identifying and developing use cases that respond to the real needs of teams. From generating commercial offers—with traceability of requirements, multilingual drafting and quality improvement—to automating data analysis in Excel. In addition, they have improved the intelligent management of complex emails and the creation of PowerPoint presentations, finding in Copilot an ally to work better and faster.
One of the most notable advances has been the creation, with Agent Builder, of intelligent agents such as Indra M365 Copilot Helper, which acts as an interactive assistant that guides new users through their first steps with the tool, answering questions and facilitating the adoption process. These agents improve operational efficiency, democratise access to information and accelerate the learning curve, becoming a key part of the adoption model.
These use cases have been shared in training workshops and are constantly evolving thanks to feedback from users themselves, in a process of continuous improvement that reinforces Indra's commitment to applied innovation.
International expansion and new agents
Indra Group is already working on adding 1,500 new users internationally and on the mass rollout of Copilot Chat throughout the organisation. Through Minsait, recognised in 2024 with the Microsoft Spain Partner of the Year award, the company is also supporting other public and private organisations in their transformation with generative AI. Its strategic offering focuses on the development of customised agents, change management and the adoption of solutions such as Copilot Chat, Microsoft 365 Copilot, Copilot Studio and Agentic technologies, covering the entire Microsoft technology portfolio.
